Data recovery pricing explained
Recovery cost follows the technical work needed to reach usable data. The fault, media condition, required parts, recovery scope, laboratory time and delivery arrangements matter more than capacity alone.
Cost drivers
Price follows the fault and recovery method
The method, risk and useful recovery objective are the foundations of price.
A reliable price cannot be calculated from the label on the device. A 1 TB drive with file-system damage may need a very different method from an identical drive with failed heads, unreadable surfaces or firmware instability.
The diagnostic assessment defines the likely work: stabilisation, imaging, logical reconstruction, component handling, array analysis, file verification and delivery. A final quotation should reflect those observed requirements rather than storage capacity alone.
- Storage architecture and number of devices involved
- Logical, electronic, mechanical or combined failure
- Priority datasets, validation and output requirements
What the assessment establishes
It identifies the fault class, source stability, proposed recovery path and available evidence for the requested data before chargeable recovery is approved.
What remains uncertain
Unreadable zones, corrupted structures and encrypted content may leave some outcome risk. A responsible price does not disguise those technical limits.
Fault-specific work
How each technical fault changes the quotation
The assessed condition and proposed method determine the quotation for the individual storage device.
The diagnosed fault determines the recovery path and the work that can be quoted responsibly. Logical reconstruction, board-level or firmware work, internal hard-drive intervention and multi-drive recovery involve different equipment, labour and risk.
A quotation should identify the required method, parts, reconstruction and validation. A case that combines several faults cannot be represented accurately by one copied category price.
- Logical failure: controlled imaging, metadata reconstruction and checks on priority files
- Electronic or firmware failure: component-level access, compatible parts and safe acquisition
- Mechanical hard-drive failure: clean-room intervention only when internal work is justified
Logical failure
Deletion, formatting, damaged partitions or file-system corruption on media stable enough for controlled imaging and reconstruction.
Electronic failure
Controller, power, connector, board-level or firmware problems that require technical diagnosis before the storage can be read safely.
Mechanical failure
Head, motor or impact-related faults that may require compatible parts, a controlled clean environment and progressive imaging.
RAID, NAS, server and NVR
Multi-drive reconstruction involving disk order, parity, controller records, logical volumes, the condition of each surviving member and checks on the requested files.
Included scope
The quotation should show what is included
Compare the whole recovery proposal, not a number separated from its technical conditions.
Price is meaningful only when the scope behind it is visible. The quotation should connect the diagnostic findings to the proposed method, target data, expected timescale, parts and delivery route.
It should also explain what happens if the client declines or if the result is limited by unreadable blocks, damaged metadata or unavailable encryption material. Chargeable recovery begins after the stated scope is accepted.
- Assessment findings and proposed method
- Parts and handling where required, with private round-trip transport included
- Known limitations and approval conditions
Decision before chargeable work
The client reviews the evidence, price and boundaries before authorising the proposed recovery route.
Handling and delivery
Restricted access, representative file checks and the destination for recovered data should be treated as part of the practical scope.
Cleanroom
Clean-room cases add parts and controlled handling
Mechanical intervention adds specialised handling and parts only when the evidence calls for the drive to be opened.
Some mechanical hard-drive faults require the sealed assembly to be opened under controlled conditions. Clean-room handling reduces contamination risk while heads, platters and internal components are exposed; it is not relevant to every recovery case.
The quotation may include compatibility research, donor components, clean-environment work, controlled trials and a slow imaging strategy. Read more about when clean-room data recovery is technically justified.
- Hard drive opening when the mechanical fault justifies it
- Compatible donor parts and controlled handling
- Zone-by-zone reading to limit additional loss
Mechanical failure
Compatible components, controlled opening and conservative imaging add labour and material cost to a mechanically damaged drive.
Logical failure
Stable media may instead require imaging, metadata reconstruction and validation without internal mechanical intervention.
Comparison
Compare like-for-like evidence, not isolated figures
Ask what evidence supports the method, which result is being priced and which risks remain with the client.
Two quotations are comparable only if they address the same fault, recovery objective and included work. Check whether assessment, donor parts, array reconstruction, output storage, transport and representative file verification are inside or outside the figure.
A higher price needs a technical reason, while a lower one needs a clear boundary. Neither cost alone proves expertise or predicts the usability of the recovered data.
- Question fixed prices offered without technical evidence
- Ask what is included in the quotation
- Check handover and priority files
An incomplete figure
It may describe only one stage of a simple logical case. Confirm which assessment, acquisition, reconstruction and validation tasks it genuinely covers.
The evidenced total
It should follow the observed fault, proposed work and defined result, with limits that can be understood before approval.
Quote
Give enough detail for meaningful pricing
A factual history improves pricing context without encouraging another write, rebuild or power cycle on fragile storage.
Describe the incident without running another test to make the request look complete. Provide the media type, symptoms, previous recovery attempts, priority data, system configuration and real deadline using the information already available.
Those facts help classify the likely work while preserving the source. The confirmed price still depends on assessment, but a precise history reduces assumptions and supports a better-defined quotation.
- Media type, capacity, system and use
- Observed symptoms and incident date
- Files or folders that are genuinely priority
Before the quotation
Leave the source unchanged: do not format it, repair its structures, rebuild an array or install tools onto the affected volume.
After the quotation
Proceed only when the proposed method, total, essential data, unresolved limits and delivery arrangements are clear.
Terms
What remains free and when payment becomes due
A price becomes a decision only after usable files have been checked and the limitations have been made clear.
The quote, free laboratory diagnosis and private round-trip shipping are included at no charge. Before payment, the client receives a checked file list, the price and the four statuses recoverable_verified, partial, detected_unverified and unrecoverable; only recoverable_verified is treated as recoverable.
Payment is made only after the client accepts that list and the price. Final recovery, preparation of the result and return take place after payment.
If no usable data are found, final recovery fails or the client declines the list or price, there is no standard charge for the intervention, outbound shipping, return shipping, customs or standard return media. Only a rare, costly part may be ordered after separate, explicit, priced approval; that part is non-refundable even when recovery is unsuccessful.
- Free diagnosis and free quote
- Decision based on checked files and price
- No standard charge without a usable accepted result
FAQ
Frequently asked questions
What determines the price of data recovery?
The quotation reflects the diagnosed fault, media stability, safe imaging method, required parts, clean-room intervention when justified, reconstruction effort and validation of the priority data.
Is the initial review free?
Yes. The diagnosis, quote and private round-trip transport are free. Payment is made only after the checked file list and price are accepted.
Why does mechanical failure cost more?
A mechanical failure may require cleanroom opening, compatible parts, controlled handling and progressive imaging of the media. The cost reflects the additional time and technical risk.
Does a quote oblige me to pay for recovery?
There is no standard charge without usable data or when the client declines. Only a rare, costly part approved separately at a stated price remains non-refundable.
Can the final price be confirmed before assessment?
No. The storage condition, required method, parts, reconstruction, priority data and handover scope must be assessed before a case-specific quotation can be confirmed.
