Break down the factors behind an estimate

Equal-capacity drives can produce entirely different cases because head damage, contamination, prior power cycles and the requested deliverable vary.
Identify the six stages that can change the work
A clear estimate distinguishes:

- Source imaging with controlled retries and limits for unstable areas;

A short head intervention can be followed by a long, unstable acquisition. In a different failure, preparing and matching mechanical components may be the time-consuming stage before imaging can even start.
Drive size influences how much material may need to be read, but it does not reveal media damage, head condition or the number of safe read strategies required.
Deliverables are another variable. Retrieving a defined project folder differs from rebuilding a department share, validating a live database set or assessing surveillance footage. Neither gigabyte count nor file count alone describes result quality.

Use a clean room only when the HDD requires it

Use a staged opening decision
- Confirm the precise drive and the system or enclosure it came from.
- Document the failure event and last normal operation.
- Determine whether another spin-up is justified.
- Evaluate external interface, power and bridge electronics without writing.
- Decide if a source image can begin while the drive remains sealed.
- Set a specific objective and stop condition for internal work.
This sequence avoids confusing a failed enclosure board or power supply with head or platter damage. It also prevents repeated startups after impact or new mechanical noise has already made continued use unsafe.
Specify high-value data before the first imaging pass. On a rapidly degrading disk, payroll records, case files or unique creative assets may need an acquisition order different from a complete archival image. Priority can guide reads, but it cannot change the physical state of a sector.

Evaluate scope instead of price alone
A meaningful estimate lists the included procedures, the decisions that require customer approval and the treatment of incomplete recovery.
It should address diagnosis, donor media, internal work, imaging, logical analysis, return storage, temporary retention and verification of the requested data.
Ask the same questions of every proposal
Headline totals are comparable only when the underlying commitments match. Does the amount include donor components? Will the lab resume a bounded image after read instability? Are named priority files tested? How are missing periods reported? What retention and secure-deletion terms apply? Price without scope leaves risk undefined.
An inexpensive first attempt may raise the final cost if it reduces the remaining options. Opening a disk outside controlled conditions, repeatedly spinning damaged media or writing repair changes can compromise the only source. A professional scope preserves decisions that remain reversible.
Describe priorities by use, such as active customer matters, current financial records, irreplaceable images, source projects, databases or incident video. Datastrophe can then order acquisition and testing around value rather than promising that a larger raw total is better.

Associated items may identify an external fault or make encrypted content interpretable; they do not justify another uncontrolled start of the source.
Avoid launching a fresh scan simply to request another estimate. A factual statement such as “the drive began clicking after impact” gives a lab better evidence than a changed source and a new error message.
Expedited handling may change scheduling, but it should not bypass diagnosis, controlled acquisition or validation of the result.
